The figure above explains the solution for RIVIAM to read incoming emails with referral attachments. It shows the flow of information to and from the email sender, through the designated email account and the resulting processing by RIVIAM.
- The referral email sender creates an email, attaches documents (as required) and then sends the email to a specified email account.
- On receipt of the email, RIVIAM can send a confirmation email with a reference code to the sender.
- When RIVIAM receives the incoming email, it creates a referral and patient record with the details.

Managing multiple attachments with different patient referrals
Ideally, RIVIAM will only receive an email per patient. Sometimes referrers will send a batch of referrals in an email. When an email is received that contains multiple patient referral documents, RIVIAM will create a referral for each document with patient data, create a new reference number for each referral and ignore any other documents in the email.
