For children who have Declined consent due to porcine content & who HAVE been outcomed.
Originally the children will have been outcomed as Not Given.
Contact RIVIAM to create a report for specified schools of children who had originally consented to No due to porcine content.
This report will contain the names of children at each school and their consent reference numbers.
You can search for the consent reference numbers at each school to obtain the parent's email addresses. Please be aware that the best way to obtain parental email addresses to contact them in bulk is by downloading a school list and you can look for them there.
Open the consent, find the parent's contact details by choosing the 'referral details’ tab on the left, then choosing '2021 Flu parent details’. The School list contains their email details. Call or email the parent to offer the inactivated vaccine with no porcine gelatine content.
If the parent consents to the injectable vaccine, change the consent status from 'No' to 'Yes'. Go to the Immunisations tab on the left and click the button which says ‘Action’ and choose ‘Update consent status’ from the drop-down menu: In the next display where it says ‘Please select new status’ choose ‘Consent given’. Select the next step in the process from the drop-down - it should be ‘Flu Ready’ in most cases unless you have to do any clinical triage. Write a note in the ‘Please explain why this consent is being changed’ section outlining that a call has been made and consent has been changed due to the offer of inactivated vaccine. Include in the note that you have asked the triage questions. We can have another process in the clinic where we give a questionnaire at the time of vaccination: Click on ‘Confirm’ once the update has been completed. On the child home page, you will see the timeline showing the step that you have just moved the consent to. If you click on the Imms tab on the left you will see ‘Consent given’ is now appearing in the Imms consent status.
Move the child’s consent from school into the community clinic. In the child’s home page view, in the Immunisations summary section on the right, click on the blue up-arrow next to the school name: In the next screen search for the name of the clinic, then click on it when it appears. Then click on the blue button with the new clinic name on the bottom right of the window. IMPORTANT; Please make a note of the school that you are moving this child from.
When the child details are downloaded to the clinic on the iPad, RIVIAM will change their status from not given to not processed, which means they will be able to be outcomed again.
The notes outlining that the child is for the inactivated flu vaccine will appear on the iPad and need to be checked before the child is vaccinated. They should also show the reason why they were marked as not given previously. The health questionnaire will need to be run through at the time of the vaccination.
On the iPad, in the Waiting Queue on the patient view, you will see a green tick in consent and a red cross in outcome for the children previously outcomed as not given. In their record, you can update the outcome and the additional notes. The vaccine type will show as nasal Flu so you need to add a note that this was the inactivated vaccine in the additional notes. The previous outcome and additional notes will be visible but these can be changed and saved with the new outcome
If the vaccination is given RIVIAM will be updated as vaccinated.
Once the child has been outcomed at the clinic, their consent will have to be moved from the community clinic back into the original school for the purposes of reporting.
When you download the Careplus Report, you will need to manually update the vaccine type and vaccination details. At the moment it will default to NASFLU, you would need to filter it by batch number and then put in the vaccine type you want against that batch number.
